Program Assistant
Job Summary:
The Program assistant will help oversee the day-to-day operations of energy efficiency programs. In this position you will provide our clients with ongoing monthly and on-demand reporting of program progress and efforts. The candidate will also be responsible for working with our team of energy advisors (field staff) to improve program delivery, increase customer participation via marketing efforts, help generate more energy savings, and support ongoing reporting efforts with assistance from employees in the field. Our ideal candidate has an excellent rapport with customers, great communication skills, a keen problem-solving ability, and experience with administrative tasks. We are looking for a program assistant that has a firm foundation in reporting, writing, and verbal communications. Energy Efficiency experience is a plus!
Responsibilities:
- Programmatic tracking and reporting using databases
- Communication of program trends to internal and external teams
- Address customer complaints and resolve problems
- Coordinate operations and ensure schedules and objectives are met
- Handle confidential information; organize and maintain files
- Assist the field staff in organizing, planning, and implementing strategies
- Perform clerical duties, maintain files, and organize, photocopy, fax, and collate documents as needed
- Information gathering and information monitoring
- Secure adherence to company’s policies and guidelines
- Perform other duties as assigned
Qualifications:
- Strong written, verbal, and presentation skills
- High level of organization
- Excellent analytical skills
- Ability to work in various Salesforce databases requiring data entry, report generation, and progress tracking
- Extreme responsiveness to client requests
- Problem assessment and problem-solving
- Ability to multi-task and establish priorities
- Attention to detail and accuracy
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Maintain a good driving record and valid driver’s license
- Pass all background and drug screens
Education and Experience:
- Bachelor's degree in communications, management, or business required. Other degrees will be considered for the right candidate
- Experience in energy efficiency field is a plus
- Motivated toward career growth and learning
Working Conditions
This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Must be able to sit and work on a computer for extended periods of time.
Physical Demands
This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary. Able to stoop, kneel, bend at the waist, and reach daily.
Travel is expected for this position about 10% of the time and might include travel to client meetings, job sites, and contractor sites.
